Contract Conditions, Rules & Regulations for Exhibitors

  1. Assignment of Exhibit Space: Will be on a first come first served basis. The applications received with full payment will be confirmed for booth space selection which is considered by the postmarked date on the transmittal envelope. In the case of a faxed credit card payment, by the time/date stamp on the fax cover sheet, or in the case of an on-line payment, by the time/date stamp of submission.
  2. Shipping: (Not applicable to those who have ordered a booth package through the event organizer). All exhibitors shall take care of the shipping of their materials, ground handling, reception, unpacking and storing of the goods as well as of the removal of the materials after the exhibition. The exhibitor is responsible for the installation and dismantling of his own stand walls and other decoration materials.

    The cost of transporting your booth to the meeting venue is not the responsibility of the conference organizers or the exhibition centre. Assistance in the design and manufacture of a display booth is available for an additional fee.

  3. Setup of Exhibits: The Expo area will be open for exhibitors to begin setting up or moving in brochures or other promotional materials at 09:00 hrs on Sunday, 26th September 2010. Exhibitors must complete setup by 17:00 hrs on the same day. The exhibition area will be opened for event attendees for the first time on Monday, 27th September 2010.
  4. Removal of Exhibits: Exhibits must not be disturbed, dismantled or removed before 17:00 hrs on Wednesday, 29th September 2010. However, all exhibits must be removed by 23:00 hrs on the same day. For Exhibits not removed by that time, event organizers will remove exhibits and charge expenses to the exhibitor. For those who have ordered booth packages through the event organizer, please note that you must pack up your own brochures and other promotional materials should you wish to take them back. Any brochures or promotional materials left at your booth after 23:00 hrs will be disposed of by the exhibition center.
  5. Insurance and liability: Exhibitors assume the entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to Exhibitors displays, equipment or other property brought upon the premises of the AsiaWorld-Expo and agrees to indemnify, save and hold harmless World Cargo Connections 2010 and its designated event organizer, its operator, and each of their respective parents, subsidiaries, affiliates, representatives, owners, officers, directors, servants, agents and employees against all claims or expenses for such losses, including any liability caused by the sole gross negligence of World Cargo Connections 2010 or its designate event organizer.

    World Cargo Connections and its designated event organizer and the Exhibitor understand that neither the World Cargo Connections 2010, its designated event organizer /, nor the AsiaWorld-Expo maintains insurance covering the Exhibitor's property or lost revenue, and it is the sole responsibility of the Exhibitor to obtain such insurance. The Exhibitor shall obtain and keep in force during the term of the installation and use of the exhibit premises, policies of Comprehensive General Liability Insurance and Contractual Liability Insurance, insuring and specifically referring to the Contractual liability set forth in this Contract, in an amount not less than US$ 1,000,000.00 Combined Single Limit for personal injury and property damage.

    World Cargo Connections, its designated event organizer, AsiaWorld-Expo, its owners, and its operator, shall be included in such policies as additional named insured. A copy of the Insurance Certificate must be submitted to World Cargo Connections prior to opening day.

  6. Cancellation of Exhibition Space Contract: A request for cancellation of an exhibition space contract must be made in writing to World Cargo Connections. Refunds or cancellation charges will be handled in accordance to the Cancellation Policy stated on the Booths section of the event website. Space not fully paid for by Monday, 16th August 2010 is subject to cancellation or reassignment at the option of the organizers of World Cargo Connections without obligation for refund of any monies previously paid by the exhibitor. Should any rented space remain unoccupied on the opening day, or any time thereafter, the organizers of World Cargo Connections reserves the right to rent such space to any other applicant, and no refund shall be made to the original renter.
